Manager, Finance & Operations

Looking for a new challenge? Small Mac-based award-winning branding communications firm in Herndon, VA seeks an experienced PT manager of finance and operations. Your primary roles will include the handling of all financial and administrative aspects of the firm, including helping to ensure timely, accurate, and efficient AP/AR processing, bank deposits, payroll, GL account entries, etc. You will also work very closely with the firm's president to oversee the firm's operations (including HR), address issues that arise, and help determine the firm's long-term strategic direction. We're looking for someone that enjoys multi-tasking, is confident of his/her abilities, and wants to help take our firm to the next level.

Primary Responsibilities & Duties:

  • Accounts payable and accounts receivable
  • Bi-monthly payroll processing
  • HR administration & management
  • Maintaining personnel, client, and vendor files
  • Bank deposits
  • GL account entries
  • Monthly client statements & collections
  • Bank statement and account management and reconciliation
  • Preparation of monthly financial statements and month-end closing
  • Attendance at monthly strategy session with firm president
  • Serve as liaison to outside accounting firm
  • Tax reporting
  • Work closely with company president on financial, administrative, HR, and strategic matters
  • Client servicing and vendor coordination
  • Other bookkeeping and administrative tasks as assigned

Knowledge & Skills:

Required:

  • Proficiency with accounts payable/accounts receivable and GL account entries
  • Proficiency in InDesign, MS Word, MS Excel (Mac), email software (Outlook/Entourage)
  • Knowledge of Workamajig or similar online accounting software for professional/creative services firm
  • Excellent interpersonal, oral and written communication skills
  • Outstanding attention to detail and problem-solving skills
  • Ability to work independently to develop solutions
  • Highly organized, process-oriented, and deadline-driven
  • Excellent time management skills
  • Proficiency with Mac (primarily) and PC
  • Knowledge of financial record keeping and tax reporting procedures, laws, regulations, and standards
  • Excellent computer and data entry skills
  • Strong team mentality and service attitude
  • Legal right to work in the United States

Preferred:

  • Supervisory experience
  • Traffic management in creative services firm
  • Experience with Photoshop, Dreamweaver, Illustrator

Education & Experience:

  • Bachelor's degree in discipline related to responsibilities and duties of position
  • 3+ years of accounting and operations/office management experience (creative studio/agency experience preferred)
